Bluewater Yacht Sales is seeking a highly organized and motivated Office Assistant for our Hampton, Virginia location. The ideal candidate will be responsible for managing leads, drafting and publishing listings, updating our website and MLS systems, collaborating with marketing, and performing general office duties.

 

Essential Duties and Responsibilities

Office Management:

  • Customer Interaction: Welcome customers and direct them to the appropriate company representatives.
  • Communication: Answer incoming phone calls, respond to inquiries, and route customers to the correct company representatives.
  • Record Keeping: Maintain records of office activity, including walk-ins, phone calls, and email inquiries.
  • Office Systems Management: Manage mail, deliveries, office supplies, calendars, and other office systems.
  • Marketing Materials: Maintain and correctly display office signage, marketing materials, and promotional items.
  • Listings Display: Ensure that listings are displayed within the office for walk-in traffic and that copies are available for regional events.
  • Sales Support: Assist sales professionals with various tasks such as updating contact records, revising listings, printing, and scanning.
  • System Updates: Stay up to date with company systems and provide additional help where needed.

 

Lead Management:

  • CRM Updates: Work with Marketing and Management to update our CRM (Customer Relationship Management) system with information from leads and various external sources.
  • Lead Routing: Ensure that all leads are properly routed, entered, and recorded in our CRM.
  • Customer Communication: Collaborate with our sales team to develop a program and send letters and communications regarding listings that may fit customers' needs.

 

Listing Management:

  • Listing Creation: Assist Sales Professionals with creating new listings and price reductions for new and used inventory.
  • Website and MLS Updates: Use listing information provided by the Sales Professionals to recreate listings on the Bluewater website and other MLS (Multiple Listing Service) platforms.
  • Inventory Reports: Update inventory reports to reflect new listings, price reductions, and changes to listings.
  • Email Newsletter: Utilize listings to create the weekly email newsletter for customers.

 

Technical and Physical Requirements

  • High school diploma or equivalent preferred
  • Previous experience in a receptionist or office assistant role preferred
  • Proficiency in using CRM systems and basic website management tools.
  • Previous customer service experience preferred
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Ability to sit for long periods of time
  • Ability to lift 10 pounds
